BAF is seeking a Part-time Administrative Assistant

Purpose: The Administrative Assistant is responsible for providing administrative and program support to the Board of Directors and staff in pursuit of Beckley Area Foundation’s mission including working to ensure smooth and efficient operations. This position reports directly to the Executive Director.
Type of Position: Part-time, on-site

Administrative Support (approximately 50% of time)
Program Support (approximately 50% of time)

- Strong organizational abilities including planning, coordination and communication
- Ability to work independently and prioritize time sensitive assignments
- Ability to collaborate with staff
- Skills to collaborate with and motivate board members and other volunteers
- Proficient in Microsoft Office products
- Online grant making experience
- Ability to convey the vision of Beckley Area Foundation’s strategic future to staff, board, volunteers and donors
- Knowledge of donor relations
- Ability to interface and engage diverse volunteer and donor groups
- Ability to maintain confidentiality
Specific Responsibilities:
Administrative Support (approximately 50% of time)
- Support the day-to-day operations of the Beckley Area Foundation
- Promptly receive all visitors to the office
- Receive and direct incoming calls
- Plan and coordinate meetings
- Generate all required correspondence via phone, letter or email
- Maintain all donor acknowledgements and related correspondence in corresponding fund files promptly and consistently
- Prepare any required reports or documents
- Attend all meetings as assigned
- Maintain detailed record of board minutes
- Perform additional duties as assigned
Program Support (approximately 50% of time)
- Assist with the preparation of the Foundation’s community events and outreach programs
- Help to develop and prepare information for grant orientation programs
- Provide program support for grant processing
- Review submitted grant applications for completeness
- Provide scholarship program support as needed
- Perform additional duties as assigned
